How to batch-edit partner data
Here’s how to update several partners at once by uploading a file, instead of editing them one by one.
The Edit existing partners workflow lets you batch-update partner data by uploading a file. You choose which fields to update in the upload wizard, only those fields change, and everything else on the partner stays exactly as it is.
| Who can use this | Admin users with permission to Add or manage partners |
|---|---|
| Fields you can edit | Company name (added to the partner's alternative company names), partner contact details, requesting contact's email, tags, integration IDs, spend, and criticality |
| Required in your file | An EVID (EcoVadis ID) and a Company Name for every partner you want to edit. |
| Supported file formats | XLS(X), CSV, TSV, XML, JSON, and PDF |
Before you start: how value replacement works
Two things decide what happens to a field: whether you turned it on in the upload wizard, and what's in that field's cell in your file.
- Current value = what's already saved on the partner in EcoVadis platform right now, before edit flow.
- File value = what's in that column's cell for that row in your file.
Here's what happens for each field, depending on whether you toggle it on:
- Field toggled off → nothing happens. The current value stays exactly as it is, no matter what the file value says. The file is ignored for this field entirely.
- Field toggled on, cell has a file value → the file value overwrites the current value. The current value is gone; the file value is what's saved from now on.
- Field toggled on, cell is blank → the current value is deleted. A blank cell doesn't mean "leave it alone" — it means "erase it." To leave a field untouched, toggle it off; don't rely on leaving its cells blank.
Fields that hold more than one value (tags, integration IDs) work the same way, but the file value is the entire new list, not an addition to the current one. If you toggle tags on and your file cell says Retail, the partner ends up with only the tag Retail, any other tags it had are gone. To add a tag without losing the current ones, you have to type out every current tag plus the new one in the same cell, separated by semicolons (for example: Retail;Textiles;NewTag).
Company name works differently from other fields. It is required on every row and always turned on, so you can't turn it off. What you type is always added to the partner's alternative company names. It never replaces or erases the ones already there, so you don't need to copy the existing names into the cell.
What else happens depends on the partner's status:
- Identified partner → the value is added as an alternative company name.
-
Unidentified partner → the value is also used to try to match the company with an EcoVadis-verified organization. If we find a match, the value is added as an alternative company name.
- For more information, see [How to identify unidentified companies]. (link decision pending, point 2)
An alternative company name is a search alias that helps you find the partner faster. The name displayed in the Partners list is always the verified legal entity name in EcoVadis, whatever alternative names you upload.
If the Company name cell is empty, the row isn't processed and lands in Not edited, so nothing is changed.
Getting started
From the Partners page, select Add or manage partners in the top-right corner, then click Edit existing partners.
"Add or manage partners" page shows all workflow options: Add new partners, Edit existing partners and Archive existing partners.
-
Upload your file.
Drag your file into the upload area, or click Select file to browse your device.Need a file to start from? Use the Download template menu (works with Excel and Google Sheets):OptionUse it whenBlank templateYou're building your file from scratchPre-filled templateYou want your current partner's data already in the file — coming in late 2026, not available yetExport from Partners listYou already have the partners you want to edit and just need their current data. Before re-uploading, merge all Tags into one column and all Integration IDs into one column (semicolon-separated) — one column per field, not one per value.
-
Select a sheet.
If your file has more than one sheet, choose the one with your partner data, then click Continue. -
Select the header row.
Confirm the row the tool highlighted as your column headers (for example, Company name or Tax ID) or pick a different one, then click Continue. -
Choose which fields to update.
Turn on only the fields you want to change. Everything else is left alone, even if your file has values for it. Company name is always on and can't be turned offExample: to update only Requesting contact email and integration IDs, turn on just those two, leave the rest off, then click Continue. Company Name is always on. Anything you enter is added to the partner's alternative company names; it never replaces or erases the current ones. An empty Company name cell means the row isn't processed.
To delete a value, leave its cell blank and keep the field toggled on. This doesn't apply to Company name, which is required.

Check the column matches.
EcoVadis maps your columns to system fields automatically. Review each match, and fix any with the dropdown.Status Meaning Automatically matched A column in your file matched a system field. Matching required No match found — you must pick a column before continuing. Not matched No match found — mapping this one is optional. -
Fix anything flagged as an error.
Every row is checked before upload. Rows with problems are highlighted in red - click a red cell for a tooltip explaining the issue, and fix it right in the table.A few tools that help here: ToolWhat it doesError rowsFilters the list down to only rows with problems.Duplicate / RemoveCopies selected rows (useful for partners sharing the same data), or deletes them from the file.Apply edits using AIFixes a whole column at once from a plain-language instruction (for example, “remove spaces after semicolons”) — preview it, then apply to just the error rows or the whole column.
-
Save your changes.
Click Start upload. You'll see a summary of clean rows vs. error rows: rows with errors or duplicates are skipped. Click Save changes to confirm. Most changes appear in Partners within an hour; large uploads can take longer.
Check your result
Go to Review upload history to see your file's status. Once it's done, it shows how many rows were uploaded, how many partners were edited, and how many rows failed.
For the full detail, click Download report on the upload card. Each option is a separate .xlsx file with a row count next to it — for example, Edited (7) or Not edited (11).
Reading the report
Every row gets one of these labels, plus color-coding to draw your eye:
| Label | Meaning | What to do |
|---|---|---|
| Edited | Updated cleanly. | Nothing — it's saved. |
| Edited with exceptions | Updated, but one field couldn't be saved. | Open the yellow cell, read the note, fix the value. |
| Not edited | Row was blocked. | Fix using the Reason column, then re-upload. |
The most common reasons a row isn't edited:
- Formatting error — often the EVID isn't 8 characters. Check the red cell.
- Company name is required — the Company name cell is empty. Add the company name and re-upload.
- EVID not found — no partner in your Network matches that EVID.
- Company is archived — unarchive the partner first. See “Archiving partners in bulk.”
Example: you upload a row with EVID 12345678 and a phone number missing its dialing code. The phone cell turns yellow with a note: “Phone number couldn't be saved. Missing dialing code.” Everything else on that row (name, email) saves fine, and the row shows “Edited with exceptions.” Fix: add the dialing code and re-upload, or edit the partner directly in Partners.
Good to know
- The report is a snapshot from the moment you uploaded — later edits to the partner don't update it.
- Numbers with leading zeros (DUNS, Tax ID, postal codes, phone numbers) are stored as text, so they don't lose that zero.
- Duplicate EVIDs in the same file: only the first row uploads, the rest are skipped and show up in the Not edited report.
